1. Information We Collect

1.1 Information You Provide

• Account Information: When you sign up, we collect your name (if provided), email address, and password (securely managed by Supabase Auth).
• User Content: All emails you send to hello@bev.email, including message body, attachments (e.g., PDFs, images, spreadsheets), and any files you upload.
• Automations Data: When you configure scheduled automations, we collect the automation name, slug, designated agent, and target email recipients.

1.2 Automatically Collected Information

• Usage Data: Which features you access (e.g., how often you email Bev, view transcripts in the dashboard).
• Log Data: System logs including timestamps, IP addresses, device/browser information, and error reports.
• Cookies & Local Storage: We use cookies or local storage to manage your session in the web dashboard.

1.3 Third-Party Service Information

• OpenAI & Vector Store Services: We forward your emails (content and attachments) to OpenAI’s API and our vector-store provider to generate AI responses and perform file-search.
• Mailgun: We use Mailgun to receive and send email messages. Mailgun may collect limited metadata (sender address, timestamps).
• Supabase: Your account credentials, messages, and automations data are stored securely in Supabase.

2. How We Use Your Information

• Provide & Improve Service: To process your emails, generate AI responses, manage vector stores, and display your conversation history in the dashboard.
• Automations: To run scheduled jobs, invoke the correct agent, and deliver reports to your specified recipients.
• Security & Fraud Prevention: To detect and prevent unauthorized access or abusive behavior.
• Analytics & Insights: To measure usage patterns, troubleshoot issues, and enhance performance and reliability.
• Communications: To send you account-related messages, support responses, policy updates, and marketing (where you’ve opted in).

3. Sharing & Disclosure

We do not sell or rent your personal data. We may share information:

• With Service Providers: OpenAI, Mailgun, Supabase, and other vendors performing services on our behalf.
• For Legal Reasons: When required by law or to protect Bev’s rights, property, or safety, or that of our users or the public.
• Business Transfers: In the event Bev is acquired or merged, your data may be transferred as part of that transaction (with notice).

4. Data Retention

• We retain your account and conversation data for as long as your account is active or as needed to provide the Service.
• You may delete individual chats or automations via the dashboard; residual backups may remain in accordance with our retention policies.
• Upon account deletion, we will remove your personal data within 30 days, except for log data we must keep for legal or security purposes.

5. Data Security

• Encryption: All data in transit is protected via TLS. Sensitive data at rest is encrypted by our providers (Supabase, Mailgun).
• Access Controls: Access to your data is restricted to authorized personnel and systems.
• Incident Response: We maintain procedures to detect, investigate, and remediate any data-security incidents.

6. International Data Transfers

Your data may be processed and stored in the United States (where OpenAI, Mailgun, and Supabase operate). By using the Service, you consent to transfer of information to countries that may have different data-protection laws.

7. Children’s Privacy

Bev is not intended for use by children under 13. We do not knowingly collect personal data from minors; if you believe we have inadvertently done so, please contact us to have it removed.

8. Your Choices & Rights

• Access & Correction: You can view and edit your profile information in the dashboard.
• Data Export & Deletion: Contact us at privacy@bev.email to request an export or permanent deletion of your personal data.
• Marketing Opt-Out: You may opt out of promotional emails by following unsubscribe instructions or contacting support@bev.email.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the revised version with a new effective date at the top. Continued use of the Service after changes constitutes acceptance.
